This is the act of furnishing and authenticating documents for proper identification, future referment or reference, collating, record keeping and compilation of important information for future record.

It is a meticulous means by which information in personal and official form are arranged, kept and documented for future evidence.

The essence of the evidence is not to witch haunt any individual but to avert denial, defamatory statement and other relevant purpose for record keeping.

Record keeping is one aspect that  is obsolete in the present day lifestyle as many individuals presume hardcopy are occupying too much space within their vicinity or environment which intend to make the environment or room set aside for the record keeping of vital document untidy.

Record keeping is also a source, means or process of preserving documents and information.

It is pertinent to note that documents in hardcopy format are not to be disposed or shred away until after 10years when they might become obsolete.

This method is being adopted by people in accounting or auditing so as to be able to lay hands on vital documents for refence.

Documents or hardcopy materials may not necessarily be disposed after 10years as it is to be noted that some or more information may last for 50years duration.

The room where this documents are being kept must be free from moisture (water) and rodent which may destroy part or whole of the document.

The room must be well ventilated and arranged from time time to prevent dust and mutilation of any part of the document.
